Seasonal Booking Workflow

Every training block at Synapse Performance runs on a seasonal calendar. Cricket season, football season, badminton tournaments, and the general fitness months all have different demands. The booking workflow had to match that rhythm instead of forcing everyone into the same monthly slot.

The old system treated every athlete the same. A batsman preparing for a state trial and a weekend runner both picked from the same list of sessions. That created friction: wrong session types, missed assessment windows, and coaches spending time re-explaining what each block actually covered.

The new workflow splits the year into four training phases, each with its own booking window. Athletes select their sport, their current training age, and their competition calendar. The system then shows only the sessions that make sense for that combination. A cricketer in the pre-season block sees speed and power sessions; a badminton player in the competition phase sees maintenance and mobility work.

We also added a mandatory movement screening slot before the first booking. No athlete can reserve a program without completing the initial assessment. This was a deliberate constraint, not a marketing step. It ensures the coach has baseline data on ankle mobility, hip extension, and shoulder control before prescribing any load.

The booking window closes two weeks before each block starts. This gives the coaching team time to review screening results, group athletes by training age, and prepare individual program cards. Late bookings go to a waitlist and only open if a slot frees up after the assessment review.

One tradeoff we accepted: the workflow is less flexible for drop-in athletes. If someone wants a single session outside their block, they have to wait for the next window. That was a deliberate decision. The structure protects the quality of the programming, and it keeps the coach-to-athlete ratio predictable across the season.

The result is a booking system that feels like part of the training plan, not an admin hurdle. Athletes know what they are signing up for, coaches know who is coming, and the assessment data flows directly into the program design.
